// AI workflow automation

Automate the work that moves between your tools

In most small and medium businesses the slow part isn't any single tool. It's the work between them: an order arrives by WhatsApp and someone types it into the system, a form comes in and someone copies it into the CRM, a quote gets built by hand in a spreadsheet.

We connect your tools so data is entered once and moves on its own. Then we automate the steps in between, using plain rules where the work is predictable and AI where someone has to read and interpret something first.

Integrations come first

Automation is only as reliable as the connections underneath it. We wire your CRM, ERP, accounting system, spreadsheets, inboxes and WhatsApp into one flow, so the same customer or order doesn't live in four places with four different versions.

You keep the software you already use. We connect it, map the fields, handle the errors when a connection drops, and make sure someone gets alerted when something needs attention. We work with whichever CRM you have; the ones we see most are GoHighLevel, HubSpot and Salesforce.

Where AI fits, and where rules are enough

Not every step needs AI. If the input is structured and the decision follows clear rules, like routing an approval or updating a status, rule-based automation is easier to test and cheaper to run.

AI earns its place when the input is messy: an email written in free text, an invoice in a format you haven't seen before, a request that needs to be understood before it can be routed. Most of what we build mixes both, with rules for the predictable steps, AI for the reading, and a person reviewing anything where a mistake would be costly.

Workflows we automate

Order intake and dispatch updates

Orders that arrive by WhatsApp or email get read, entered into your system and confirmed. Customers get status updates without anyone writing them by hand.

Quotes and proposals

A simple intake form feeds a process that drafts, prices and sends the quote, using your own rules and templates.

Invoice intake and approvals

Invoices get read, checked and routed to the right approver, then recorded in your accounting or ERP once they're approved.

Lead routing and CRM updates

New inquiries land in the CRM with the right owner and the follow-up task already created, whichever channel they came from.

Reporting

Data from your different systems comes together in one report that goes out on schedule, instead of someone assembling it every Monday.

How we work

1. Discovery

We map the workflow as it really runs today: who touches it, which systems are involved and where it stalls.

2. Scope and quote, before any build starts

You get a written scope covering which steps we automate, which systems we connect, where people still review the work and how we'll measure the result, plus a quote for that scope. Nothing gets built until you've agreed.

3. Build

We build and connect everything, test it with real examples from your business, and roll it out with your team.

4. Ongoing maintenance and monitoring

Integrations break when a supplier changes a field or a tool updates its API. We monitor the flows, fix what breaks and adjust the automation as your process changes.

FAQ

Do we have to replace the software we use now?

Usually not. We connect what you already have. If one of your tools has no way to connect, we'll tell you during discovery and walk you through the options.

Which tools can you connect?

Any CRM, plus most ERPs, accounting systems, spreadsheets, inboxes and WhatsApp. Older systems without an API take more work, and we'll say so before you commit to anything.

What if a step needs a person's judgment?

Then a person keeps it. We design the flow so the automation prepares the work and someone on your team approves it, especially for anything involving money or customers.

How long does it take?

It depends on the workflow and how many systems are involved, and the timeline goes in the scope document. Most first projects ship in three to six weeks.

Who owns what you build, and where does it run?

You do. Once the project is finished, the code and the automations are yours. We'll recommend where to host them, and we work with different hosting providers, so you aren't tied to one.

What happens to our data?

We work inside your own tools and accounts, use only the access each connection needs, and never train public models on your data.

What happens after launch?

We monitor the flows, fix connections when something changes on your side or a vendor's, and keep improving the automation over time.

Ready to stop copying data between systems?

On a free strategy call we'll look at one of your workflows together and show you which steps can run on their own.
